Much has transpired in the media about the spread of the COVID-19 (coronavirus disease) since Shirley’s update of Tuesday, March 3rd. It is known that CORVID-19 is spreading rapidly and cases are increasing daily in nearly every state. While the actual number of confirmed cases is relatively low, it is highly contagious and this number will certainly rise. The World Health Organization elevated the outbreak classification to an official pandemic.
The Wooten Company is taking a proactive and cautious approach. We are implementing certain procedures to help reduce its spread within our company and community. It is our intention to continue to monitor the situation over the weekend and take necessary actions to protect our employees and their families.
We have a 2 phase approach. Phase 1 will become effective Monday, March 16, 2020 at 8:00 am, and Phase 2 when and if necessary.
Phase 1: Best Practices
• If you have come into contact with friends, family or colleagues that show symptoms or you believe that you may be at risk, please stay at home and contact your supervisor immediately. Do not report to the office and visit your medical practitioner as necessary.
• Only travel that is absolutely necessary will be allowed.
o Employee travel between Wooten offices should be eliminated. Employees that report to multiple offices will report to one office only.
o All in person meetings with clients should be rescheduled or conducted over teleconference, to the extent possible.
o No extended visits by outside visitors (clients, vendors, families, friends, etc.) are allowed in the offices. Personal item drop-offs and pick-ups are OK.
o Any conferences that are scheduled for our employees will likely be rescheduled or canceled. Please double check with the organization.
o Construction observers should continue to report to the project site and avoid visiting the office in person.
• Continue to wash your hands and avoid contact with your face.
• All employee work areas should be kept clean and disinfected to the extent practical.
• The kitchen and food/drink prep areas should be immediately cleaned up after use.
• In office employee communication should be conducted via telephone and MS Teams whenever possible to minimize group exposure.
Phase 2: Alternating Work Schedule
If a serious health threat is posed to the company, Phase 2 will involve alternating work schedules for the Raleigh Office employees given its higher density. Alternating work schedules will involve working in the office and from home. (Regional Offices will continue to operate as normal unless a situation develops requiring special attention.)
• To work at home, the Remote Desktop application will be enabled on office computers (per Steven’s discretion). Employees will need to utilize their own home computer equipment and internet connection for access.
• Assigned weekdays will be assigned to different teams throughout the company. The schedule will involve an alternating 3 days IN/2 days OUT and 2 days IN/3 days OUT arrangement to facilitate a total of 5 days IN and 5 days OUT over a 2 week period.
• Staff from the same teams will be scheduled together for coordination/communication purposes.
• Our intent is to have no more than 50% of the employees in the office during the same time. Therefore, the assigned days and work hours will be mandatory, not flexible.
• Employees not scheduled to be in the office will not be permitted in the office during ‘work at home’ times.
• If enacted the schedule will be emailed to all employees and posted on the company’s website weather board.
