After much consideration and forthcoming information/statistics about COVID-19, the Board of Directors has decided to move forward with a voluntary Phase 2 program as described below. Phase 2 will allow all employees to make a voluntary decision to work from home with formal notification to your supervisor and Steven Dodds. I will stress upfront that your decision to work from home should not be taken lightly. We need everyone's continued hard work to make sure we meet the needs of our clients on a timely basis.
As such, Phase 2 does not have a defined begin and end date. As more information becomes available or we are directed by Federal/State/Local authorities to change operations, this program will remain an option to all employees in all 6 offices.
Here are the details:
Phase 2: Work from Home Strategy
• If you work from home, you must sign out on the Outlook calendar.
• The Remote Desktop application has been enabled on nearly every office computer. (Note: The Remote Desktop application will only work on 1 computer monitor.)
• Employees will need to utilize their own home computer equipment and internet connection for access. No towers or monitors are to be removed from the office due to cybersecurity and liability concerns. If you do not have home computing equipment available, please contact your supervisor to discuss the situation.
• While working from home, do not stream music or other services through the RDP program. Streaming services consume internet bandwidth and we need to preserve bandwidth to allow all employees access to the office computing equipment.
• There are no assigned in-office workdays for teams or employees. Regional and Division Leads should coordinate closely with their teams to ensure project coordination and information flow remains uninterrupted.
• Employees electing to work in the office may alter their schedules as necessary to meet home commitments. Any after hours working schedules (between 7 pm and 6 am) must be coordinated with your supervisor.
• Employees with children at home, you may need to work different hours of the day to be more productive. Please communicate your alternate work hours with your supervisor.
• While working in the office, please continue to use Phase 1 - Best Practices.
Phase 2: Benefits/Compensation
It is anticipated that employees will diligently work from home.
• Please record and enter your time daily on your timesheets.
• Employees not working or unable to work from home should apply their time to PTO. If an employee has insufficient PTO, the employee may request limited, advanced PTO from their supervisor who will clear it with HR.
• Hourly employees with insufficient PTO or that do not desire to advance PTO may elect to take unpaid leave.
• If you experience COVID-19 symptoms while at work or at home, please notify your supervisor immediately. Please do not report to the office.
• Compensation will continue to be paid per the employee’s current employment status (hourly, salary, etc.).

We find ourselves in uncharted waters. Our Company is striving to give our employees adequate flexibility to work from home based on your individual needs. Our objective is to remain productive so that we can continue to deliver high quality and timely services to our clients. Therefore, we are asking for both your continued hard work to stay productive while minimizing the impact on our business. We ask for your patience as we work through this challenging time. We don't have a single solution that fits everyone's needs so we believe that you are the best person to make these decisions.
Make no mistake. We will be financially-impacted from the COVID-19 pandemic. We do not know the exact extent of its damage and we will continue to monitor the situation and make necessary adjustments along the way. We also don't know what forthcoming Federal/State/Local policies may impact our operations on a near-term or long-term basis. Such regulations may require 'on-the-fly' adjustments. But I assure you that we will come out of this on top and stronger than we are today.
